Operations Director
Administrative / Full-Time
Main Areas of Focus: Lead/Manage/Accountability, ChMS Oversight, Events, Human Resources, Operations
Location: Franklin, TN.
Position Summary
The primary function of the Operations Director is to assist in the Administration of church affairs. They are responsible for managing the operations of SBC, including, but not limited to, oversight of administrative employees, human resources, financial operations, facility management, systems administration, information technology, church calendaring, special projects, and event management.
Key Roles
#1: LMA (Lead, Manage, & Hold Accountable)
A primary role is to lead, manage, and hold team members accountable to fulfill their roles and achieve ministry goals. This role encompasses:
Provide clear direction and vision to all team members.
Provide necessary tools for team members to succeed (resources, training, technology, people, time, and attention).
Ensure hyper clarity on team members' functions, roles, and expectations.
Ensure teams have quarterly goals to align with the larger ministry objectives.
Communicate clearly, effectively, and often.
Set up proper meeting rhythms to help direct reports succeed in their roles.
Ensure team alignment to Core Values.
Hold quarterly coaching check-ins with each direct report to provide feedback and help team members improve their competency.
Provide positive and negative feedback quickly (24 hours).
Criticize in private, praise in public.
Willingness and ability to hire, fire, review, reward, and recognize team members.
#2: ChMS Oversight (Database, Processes, & Facilities)
A primary responsibility is to oversee and steward the Church Management System (ChMS), ensuring it is clean, current, and fully optimized for ministry impact across all departments. This role encompasses:
Ensure the ChMS (Planning Center Online) database is regularly updated and maintained with accurate people records (contact info, household data, membership status, etc.).
Maintain data hygiene by establishing regular review rhythms to merge duplicates, archive inactive profiles, and update key engagement metrics.
Implement and document best practices for staff to input and retrieve data consistently and effectively.
Develop user roles and permissions that align with staff responsibilities while protecting data integrity and privacy.
Provide onboarding and ongoing training for all staff and volunteers who interact with Planning Center tools (People, Groups, Check-Ins, Services, Registrations, etc.).
Monitor and maximize usage of all Planning Center modules to support ministry operations and strategy.
Coordinate with Facilities Team to ensure Planning Center’s Calendar and Resources tools are accurately used to reserve rooms, manage setup needs, and reduce scheduling conflicts.
Ensure that events in the ChMS reflect real-time changes and align with internal communication and scheduling tools.
Build and maintain custom workflows, forms, and automations to streamline pastoral care, volunteer onboarding, guest follow-up, and discipleship pathways.
Provide monthly reports and dashboards to key leaders to help track attendance trends, volunteer engagement, giving behavior, and overall ministry health.
Maintain a spirit of innovation by staying current with updates from Planning Center and church tech trends.
Partner with the IT and Communications teams to integrate ChMS data with other platforms as needed (e.g., email marketing, church app, website, texting platforms).
Troubleshoot user issues and serve as a resource for solving day-to-day ChMS challenges quickly and effectively.
Ensure financial data within Planning Center Giving is accurate, up-to-date, and properly categorized to reflect true donor intent and church fund structure.
Regularly review fund designations and donation records for accuracy, reconciling with the finance team as needed to maintain clear and auditable records.
#3: Events
All ministries run their events, but several Tier 1, All-Church events require PM skill sets to execute faithfully. This role encompasses:
Develop and maintain an all-church annual calendar.
Ensure all ministry events for the year are published.
Work with Marketing and Design to list all events in Planning Center and the Website.
Signups are directed to event owners.
Own the planning process (ideate, plan, execute) and execution of all Tier 1 events & decor:
e.g., Christmas, Christmas Eve, Harvest Festival, Ministry Fair, Easter, Good Friday, Conferences
Oversee events team to bring expertise in execution, design, and attendee experience.
#4: HR
Caring for our staff while holding them accountable for their roles and responsibilities is critical to team health. This role encompasses:
Develop and maintain an employee handbook to cover all essential items of HR.
Maintain employee policies and procedures.
Onboarding and coordination of new hires.
Maintaining and processing payroll.
Manage all HR-related requirements (posters, sick pay, etc.) and ensure legal compliance.
Work with the Lead Pastor to facilitate culture-building activities and opportunities.
Manage employee benefits (e.g., medical, dental, vision, life, retirements, LRA’s, etc.).
#5: Operations
There are basic operations that are required to sustain a church our size. This role encompasses:
Oversee weekly financial tasks, including bookkeeping, administrative support, and reporting.
Process offerings.
Year-end giving statements.
Manage relationships with the Bookkeeper to ensure all receipts are filed and logged according to the approved budget.
Manage Accounts Payable and Receivable.
Annual county tax reporting and property tax exemption processing.
Ensure the church database is kept current and up-to-date.
Act as point of contact for all church vendors, including external utilities, IT, maintenance, banks, landlords, utilities, alarm, local emergency contacts, and other key partnerships.
Leading/Overseeing the Facilities team to:
Ensure facilities are maintained with excellence.
Ensure organization and cleanliness in both appearance and smell.
Setup/Teardown and reset rooms according to ministry-specific needs.
Manage janitorial services and contracts.
Church documents related to HR, partners, contracts, or other operational components are maintained and filed appropriately.
Oversee administrative staff overseeing Office Management, Print/Assembly (including bulletins), and Hospitality.
In general, assist the Pastor of Ministry Development and Administration with the day-to-day operations of the church at large.
