Position Summary

The primary function of the Facilities Manager is to oversee the cleanliness, usability, and overall upkeep of the church campus. This role ensures the church remains a welcoming, functional, and safe environment for worship services, ministries, and events throughout the week. The Facilities Manager leads janitorial efforts, coordinates event setups, manages facility use, and handles ongoing maintenance needs with excellence and efficiency.

Key Roles

#1: LMA (Lead, Manage, & Hold Accountable)

A primary role is to lead, manage, and hold team members accountable to fulfill their roles and achieve ministry goals. This role encompasses:

  • Provide clear direction and vision to all team members.

  • Provide necessary tools for team members to succeed (resources, training, technology, people, time, and attention).

  • Ensure hyper clarity on team members' functions, roles, and expectations.

  • Ensure teams have quarterly goals to align with the larger ministry objectives.

  • Communicate clearly, effectively, and often.

  • Set up proper meeting rhythms to help direct reports succeed in their roles.

  • Ensure team alignment to Core Values.

  • Hold quarterly coaching check-ins with each direct report to provide feedback and help team members improve their competency.

  • Provide positive and negative feedback quickly (24 hours).

  • Criticize in private, praise in public.

  • Willingness and ability to hire, fire, review, reward, and recognize team members.

#2: Janitorial & Grounds Oversight

Cleanliness and hospitality are essential to a healthy ministry environment. This role encompasses:

  • Managing janitorial staff and/or contractors to ensure all spaces are regularly cleaned and well-stocked.

  • Creating and maintaining cleaning schedules for weekly services, ministry events, and special occasions.

  • Conducting regular inspections to uphold cleanliness standards across all facilities.

  • Ordering and organizing cleaning supplies and equipment.

  • Responding to immediate or emergency cleaning needs with urgency and care.

  • Overseeing the upkeep of church grounds, including landscaping, trash removal, and general outdoor cleanliness.

  • Coordinating with landscaping vendors and ensuring the exterior of the property reflects the same excellence as the interior.

#3: Set Up & Tear Down

The Facilities Manager plays a crucial role in preparing physical spaces for gatherings and resetting them afterward. This role encompasses:

  • Coordinating and executing setup and teardown for Sunday services, midweek ministries, and special events.

  • Managing a system for receiving setup requests and ensuring they are fulfilled accurately and on time.

  • Training and scheduling volunteers or part-time staff to assist with room transitions and furniture movement.

  • Ensuring event spaces are clean, organized, and ready for use post-event.

#4: Facilities Usage Coordination

A streamlined system for room usage supports ministry effectiveness and campus stewardship. This role encompasses:

  • Managing and approving requests for room usage by ministries, staff, and outside groups.

  • Utilizing Planning Center Online (PCO) to receive, track, and communicate room reservations and setup needs.

  • Ensuring booking processes in PCO are simple, accessible, and clearly communicated to staff and ministry leaders.

  • Coordinating with ministry leaders to understand setup needs, room layouts, and technology requirements.

  • Keeping track of the facility calendar in PCO to avoid conflicts and support seamless transitions between uses.

  • Managing inventory of shared facility resources (e.g., tables, chairs, tech carts, hospitality items) and integrating these into setup requests in PCO where possible.

#5: Maintenance & Facility Care

Keeping the building and grounds in excellent condition reflects care for God’s house and the people who use it. This role encompasses:

  • Conducting routine inspections to identify repair needs or facility concerns.

  • Coordinating with vendors and contractors for building repairs, systems maintenance, and upgrades.

  • Managing preventative maintenance schedules for HVAC, plumbing, electrical, and safety systems.

  • Overseeing landscaping, parking lot care, and exterior cleanliness.

  • Responding promptly to maintenance issues and work orders submitted by staff or ministries.
