Position Summary
The primary function of the Administrator is to support and execute the administrative, operational, financial, and database functions of the church. They ensure the smooth functioning of day-to-day operations, maintain organizational systems, and support ministry effectiveness through oversight of administrative staff, facility coordination, financial processes, HR support, vendor management, and church database systems.
Key Roles
#1: LMA (Lead, Manage, & Hold Accountable)
A primary role is to lead, manage, and hold team members accountable to fulfill their roles and achieve ministry goals. This role encompasses:
Provide leadership/staff oversight to our security team, benevolence team, facilities team, and administrative assistants.
Provide clear direction and vision to all team members.
Provide necessary tools for team members to succeed (resources, training, technology, people, time, and attention).
Ensure hyper clarity on team members' functions, roles, and expectations.
Ensure teams have quarterly goals to align with the larger ministry objectives.
Communicate clearly, effectively, and often.
Set up proper meeting rhythms to help direct reports succeed in their roles.
Ensure team alignment to Core Values.
Hold quarterly coaching check-ins with each direct report to provide feedback and help team members improve their competency.
Provide positive and corrective feedback quickly (24 hours).
Criticize in private, praise in public.
Willingness and ability to hire, fire, review, reward, and recognize team members.
#2: Finance
The Administrator supports and manages the church’s financial processes in collaboration with the Bookkeeper and the Pastor of Ministry Development and Administration. Responsibilities include:
Oversee systems and coordinate with external bookkeeper to process invoices, expense reimbursements, payments, and vendor AP/AR.
Coordinate with the external bookkeeper to ensure accurate coding, documentation, and monthly closings.
Maintain organized financial records and digital documentation.
Prepare weekly, monthly, quarterly, and annual financial summaries for leadership as needed.
Ensure financial processes follow established internal controls for protection, accuracy, and accountability.
Oversee weekly deposit procedures (cash/check counting, recording, and delivery).
Ensure year-end giving statement accuracy and distribution.
#3: Staff Resources
The Administrator manages tactical and procedural HR responsibilities to support a healthy and compliant staff environment. Responsibilities include:
Coordinate new hire paperwork, systems access, workspace setup, and orientation.
Maintain employee files and documentation.
Assist leadership with scheduling, documentation, and system tracking for staff reviews.
Administer enrollments, changes, renewals, and employee inquiries related to benefits (medical, dental, vision, life, retirement, etc.).
Manage inventory of staff equipment (keys, fobs, laptops, devices, credit cards, etc.).
Maintain sign-out logs and replacement procedures.
Ensure required postings, labor law updates, mandated training, and policy documentation are current.
Support handbook updates and distribution.
Coordinate staff gatherings, celebrations, and culture-building moments.
Track PTO requests, balances, and approvals.
#4: Operations
The Administrator ensures that weekly ministry operations, church-wide events, and systems run smoothly and support the broader mission of the church. Responsibilities include:
Ensure Sunday operational excellence:
Ensure facility readiness (rooms, signage, supplies, resets).
Coordinate with security, hospitality, and facilities teams.
Serve as point-of-contact for Sunday troubleshooting.
Support planning and execution of Tier 1 church events with team (e.g., Easter, Christmas, Harvest Festival, etc.).
Coordinate logistics, volunteers, room bookings, décor, and vendor needs.
Maintain and update the master church calendar, coordinating ministry submissions and avoiding conflicts.
Maintain certificates of insurance for tenants, events, and vendors and ensure appropriate coverage levels are documented and filed.
Oversee Church Database System (Planning Center Online) and maintain data accuracy.
Manage day-to-day communication with tenant(s).
Oversee card/fob access permissions and distribution.
Coordinate room bookings, scheduling, and conflict resolution.
Process maintenance requests and communicate facility updates.
Coordinate IT tickets, maintenance, inventory, and troubleshooting with MSP.
Ensure staff systems and accounts are kept current.
Maintain technology asset records.
Oversee relationships, contracts, and service delivery for Security, Internet Service Provider (ISP), Utilities, Managed Service Provider (IT), and Additional key vendors as needed
